Your PMS Manages Reservations. But Do You Really Know How Much You Earn and What Fiscal Impact It Has?

A PMS can help you manage reservations, calendars, and operations. But to run the business, you need to know how much you really earn, where the money goes, and what fiscal impact each property has.

Your PMS can tell you how many reservations you have, which dates are booked, and how much has been sold. But there is a much more important question for any manager: how much are you really earning?

And there is still another question that often gets overlooked in daily operations: what fiscal impact does everything happening in each property have?

Managing reservations is not the same as managing a business.

The PMS Solves a Fundamental Part

A good PMS is essential when managing tourist accommodations. It centralizes calendars, reservations, channels, guests, automations, tasks, and a good part of the operations.

Without it, managing multiple properties can quickly become chaotic.

But its main function is operational: to help you make reservations work.

The problem arises when you try to answer financial questions with a tool designed for something else.

Invoicing More Doesn’t Mean Earning More

Imagine your portfolio has invoiced €80,000 this month.

That figure alone doesn’t tell you if the business has done well.

To know, you need to cross-reference many more things:

  • commissions from Booking, Airbnb, and other channels;
  • cleaning and laundry;
  • maintenance and repairs;
  • supplies;
  • software and external services;
  • manager commissions;
  • expenses incurred by each owner;
  • pending collections;
  • cancellations and refunds;
  • and all other costs that affect the margin.

Only then can you move from “we have sold €80,000” to “this is the actual result generated by the portfolio”.

When Managing Multiple Properties, You Need Two Perspectives

As a manager, it’s not enough to look at each accommodation separately.

You need to know what is happening in your business and, at the same time, what is happening in each property.

Your Business Perspective

  • How much have you earned as a manager?
  • How much have you spent?
  • What is your margin?
  • How much do you have pending to collect?
  • What forecast do you have for the coming months?
  • Which areas or types of properties yield better results?

The Perspective of Each Property

  • How much has it generated?
  • How much has it cost to operate?
  • What margin does it leave?
  • Is it improving or worsening?
  • Are there reservations that don’t match the income?
  • What do you need to settle with the owner?

That’s where reservation data stops being sufficient.

And Then There’s Taxation

The economic result and the fiscal result are not exactly the same.

You may have a real expense that affects your cash flow and has a specific tax treatment. You may have investments that need to be amortized. There may be differences between when you collect a reservation and the fiscal period it corresponds to.

Moreover, when managing multiple properties, the situation can change depending on who the owner is, how the accommodation is exploited, the territory, and the type of expense.

That’s why the question shouldn’t just be:

“How much have I invoiced?”

But also:

“How much have I really earned and what part of all this activity is fiscally relevant?”

Small Errors Multiply in a Portfolio

A reservation without an associated income may seem like a small issue.

A duplicated expense may also.

A wrongly entered commission, a pending collection, or a cancellation that hasn’t been correctly reflected can go unnoticed for weeks.

But when you manage 10, 20, or 50 properties, those small differences stop being small.

They become money.

That’s Why We Created Gatavia Check

Gatavia Check reviews the economic information of your accommodations and looks for differences, incidents, and points that need attention.

The idea is simple: not to force you to review reservation by reservation, income by income, and expense by expense to discover if something doesn’t add up.

So you can open Gatavia and quickly see what is right and what needs your attention.

Because the goal is not to have more data.

It’s to know what to do with it.
